It is increasingly necessary for organizations to be ready to face the continuous challenge of protecting their employees and maintaining a safe, ethical work environment. A fundamental pillar for this is implementing an effective Whistleblowing Channel (or Reporting Channel).
This resource provides a secure way to report incidents and is indispensable for promoting transparency, preventing misconduct, and building a culture based on integrity and mutual respect.
What is it and how does it work?
A whistleblowing channel is a communication mechanism established by an organization to allow employees, customers, and suppliers to report suspected irregularities, unethical conduct, or illegal acts.
Commonly reported issues include:
Harassment and discrimination
Fraud and corruption
Violations of internal policies
Conflicts of interest
How to Implement the Whistleblowing Channel
If your company chooses to manage the channel internally rather than outsourcing it, follow these steps:
Step 1 – Form the Management Team: Select members who are impartial and capable. They must be trained to handle reports ethically and confidentially.
Step 2 – Create Access Methods: Offer various options to meet user needs, such as dedicated phone lines, specific emails, online forms, or mobile apps (e.g., WhatsApp). It must be secure and confidential to prevent fear of retaliation.
Step 3 – Establish the Investigation Process: 1. Receipt: Confidential intake. 2. Screening: Categorizing by severity. 3. Investigation: Responsible and diligent inquiry. 4. Resolution: A final report with corrective measures and recommendations. 5. Feedback: Closing the loop with the whistleblower.
Non-Retaliation and Good Faith
Organizations must have a clear Non-Retaliation Policy. It is also essential that reports are made in Good Faith—based on facts and evidence, not on personal grudges or assumptions.
Legal Obligation (Law 14,457/22)
In Brazil, it is now mandatory for all companies with a CIPA (Internal Commission for Accident and Harassment Prevention) to establish a reporting channel specifically to combat sexual harassment and violence at work.
